Creating Tasks

Tasks are the engine of Motion.io. They're how you communicate with clients and get them to provide you with the information your team needs. Flexible and customizable, tasks can cover anything you need clients or team members to complete, sign, submit, or approveβ€”all within Motion.io.

This article will walk through the essential details of creating tasks and show you how to use Motion.io's Task Composer.

Client vs. Internal Tasks

The Task Composer in Motion.io lets you seamlessly switch between creating client tasks β€” tasks assigned to customers for completion in their client portals β€” and internal tasks β€” tasks assigned to your team members within the Motion.io admin account.

While the Task Composer functions similarly for both, there are a few key differences between how client tasks and internal tasks work. Use the links below to learn more about each type:

How to Create Tasks

To create a task, open a project or template and navigate to theTasks page by clicking on it in the top navigation menu.

If you're creating tasks in an project or template you've set up stages in alreadyclicking the gray "Create Task" button in a stage will open Motion.io's task composer and automatically assign the task you create to that stage.


Using the Task Composer

Motion.io's Task Composer provides a consistent, user-friendly interface for creating all types of tasks. In addition to the Stage field β€” which lets you choose the stage where the task will be added β€” and the Assignees field β€” where you can assign the task to one or more people to complete it β€” the following section will walk you through the other fields available within the Task Composer.

1. Title: In order to save a task, you must first enter a title. The name you enter in the Title field will be visible to the clients or team members you assign to the task when they go to complete it.

2. Details: Using the rich-text editor in the Details sectionyou can provide additional context about a task and embed images and URLs. Any content you add to this section will appear at the top of the task when clients or team members go to complete them.

3. Internal Toggle: In the upper left corner of the Task Composer, the Internal toggle option allows you to switch between creating client tasks and internal tasks.

4. Task Options: The Task Options section of Motion.io's Task Composer allow you to embed websites or software apps, attach documents, forms, and files, as well configure various settings for tasks you create.

Using Task Options

When creating tasks, you can choose to apply none, one, or any combination of the Task Options available in right side of the composer. To configure a Task Option, click its corresponding button. This will open a modal where you can enter the required information and customize the settings for that option.

All of the task options shown in the screenshot above are available for both creating client-facing and internal tasks.

Setting Due Dates & Reminders

To set a due date for a task, click the "Due Date" option and select a date. After setting a due date, automated reminders will be toggled on, and Motion.io will follow up with the clients or team member you assign until the task is complete.
