Documents in Templates

In addition to attaching electronically signable documents and contracts to tasks within active Motion.io projects, you can also add them to project templates to further streamline and automate your client workflows.

This article will explain everything you need to know about attaching documents to tasks in your Motion.io project templates.

How Documents Work in Motion.io Templates

Adding documents to tasks in your Motion.io templates works nearly identically to attaching documents in active projects.

After creating a task in your template, toggle on the "Attach Documents" task option, select your document from the dropdown, enter any final details (like the number of days until the task is due, the project is created), and click "Save."

Documents in Templates vs. Active Projects

When you attach a document to a task in a Motion.io template, unlike active projects, you won't have the option to assign a client — only team members. In Motion.io, templates are built to work with any client you onboard, so you can only assign team members to complete documents you attach to tasks

A significant benefit of assigning team members to complete fields in documents you attach to tasks in Motion.io templates is that you do not have to add them to those tasks once you create a project from that template — instead, Motion.io will automatically assign those team members for you.

Auto-Assign Clients to Document Tasks Created from a Template

If you create projects from a template using Motion.io's Zapier Integration or use a bulk action to assign tasks once you create a project from your template, the first client you assign to the task will automatically be required to complete the "Client" placeholder field.

📢 Note: If documents you attach to tasks contain multiple client fields (placeholders), someone from your team must assign them manually after you create the project from your template.
