Activating a Task Using Automations

Motion.io's built-in automations enable you to specify an action (or actions) that automatically takes place when another event (called a "trigger") occurs in one of your projects.


This article will explain how you can create an automation in your Motion.io project template that will automatically activate a task based on a the completion of another task. This ensures that projects move along smoothly and quickly without constant monitoring.

📣 Note: The instructions below walk you through adding an automation to a template. To add an automation to a project, access the Automation page for a project and proceed from step 2.

Step 1: Select a Template

In your Motion.io account, click "Templates" from the sidebar on the left. In the "Your Templates" tab, open the actions dropdown by clicking the three dots in the upper right corner and select "Edit" from the actions.


Step 2: Create a New Automation

Once you are in the template, navigate to the "Automations" tab at the top of the page. Here, you will click the "+Add Automation" button.


Step 3: Specify an Automation Trigger

In this example, the automation is triggered by a task being marked as complete—but Motion.io supports a wide range of other triggers as well, such as:


If the first step of your project is an intake form, before they are prompted to complete any other tasks, the trigger will be based on the completion of the Intake form task.

In Step 2, "Triggers", select "Task"   in the first drop-down, then "Complete Intake Form", then "Completed".


👋 Tip: You can add a delay in Step 3. The task will not activate until the delay is completed, which can be set for a number of hours, days, weeks or months.

Step 4: Set an Automation Action

In this example, clients will be sent a task to upload logos after completing the intake form. This action would be built by selecting "Activate Task", then finding the task "Upload Logos". (There is also the option to add a due date if needed.)

👋 Tip: If step 1 is left blank, a name is automatically generated once you click "Save", but it can be a good idea to name it something custom to make it easier to find later.
