Send Chat Messages to Multiple Projects

In your Projects Dashboard, the "Send chat message" bulk action lets you select projects from your dashboard and send a custom message to multiple client portals' "Chat" page simultaneously.

Examples of how you can use this functionality include:

  • Re-engaging all projects at risk of delay by sending a check-in message to those without any recent activity.
  • Introducing a new department or team member when a group of projects progresses to a particular stage (for example, send a message introducing your customer success team for all projects marked "Complete").
  • Updating all active projects about changes within your business, like new service offerings or holiday hours.

How to Send Chat Messages in Bulk

Select "Projects" from the left sidebar to open your Project Dashboard. In the dashboard, click the checkbox on the left side of each project to which you want to send a message. Select "Bulk send chat messages" from the "Bulk Actions" dropdown.

After customizing your message and clicking "Send," clients will receive an immediate email notification about that chat message and can respond to it in their portals.

Customizing Bulk Chat Messages

In the modal that appears after you click "Send bulk chat message," you can customize the message to say whatever you want. The placeholders, which appear in double brackets, auto-populate with information specific to that project so you can customize the messages you send on a per-project basis.

You can use these placeholder options anywhere in the message, add new or additional instances of them, or remove them altogether.

The list below explains how each of the four placeholder text options works:

  • {{RECIPIENT}} - Populates the name of the first client your team invited to each project
  • {{SENDER_NAME}} - Populates the name of the team member who sent the bulk chat message
  • {{PROJECT}} - Populates the name of each specific project
  • {{TEAM_NAME}} - Populates your business/team name
