Send Tasks in Multiple Projects
In your Projects Dashboard, the "Import Tasks" bulk action enables you to bring in select tasks (or entire project stages) from any of your Motion.io templates, assign them to clients, and send them to multiple projects simultaneously.
This functionality is handy when managing projects at scale, as it allows you to do things like:
- Request clients across multiple projects to complete one or more tasks each day/week/month/etc.
- Send an update to clients in a specific group of Motion.io projects simultaneously.
- Import entire stages into projects once they pass a particular milestone (for example, importing offboarding tasks for all projects marked as "Completed").
This article will explain how Motion.io's "Import Tasks" bulk action works and how to use it.

How to Bulk Import Tasks
Select "Projects" from the left sidebar to open your Project Dashboard. In the dashboard, click the checkbox on the left side of each project you want to include and select "Import tasks" from the "Bulk Actions" dropdown.
👋 Tip: If you set task due dates and reminders in your project templates, those settings will be automatically applied when importing those tasks using the "Import Tasks" bulk action.
After clicking "Import Tasks," a modal window will open where you can specify the template, stage, and task(s) you'd like to import. At the bottom of the model are a few additional (and optional) settings, which we'll explain in the sections below.
Import All Tasks in a Stage
After selecting the template and stage you wish to import, a blue link will appear. Clicking this link will import all tasks associated with the stage you selected into your chosen projects.
Set Imported Tasks as Active
Sending tasks changes their status to "Active" and enables clients to view and complete them in their portals. To automatically send the tasks you are importing and make them accessible to clients, click the toggle labeled "Set new tasks to active."
Assign Imported Tasks to Clients
To automatically assign the tasks you import to a client, click the toggle labeled "Assign new tasks to client." When you toggle this option, the first client you or a team member added to the project will be automatically assigned to the tasks you import.
📢 Important Note: When activating tasks via a bulk import action, Motion.io always assigns them to the first client listed in each project. In a future update, we will introduce functionality allowing you to specify which client is assigned.
