Managing People in the Client Directory

The "People" tab of Motion.io's built-in Client Directory allows you to add your clients to Motion.io and have a full view of them, the projects they're on, the emails they've opened, and more.

This article will explain how to create and manage people in Motion.io's Client Directory and the information you can access.

How to View People in the Client Directory

To create, view, and edit clients in the directory, click "Clients" in your account sidebar and select the "People" tab.

On the "People" tab, you'll see a list of all clients added to your account. In addition to name, email, and company, the columns to the far right (explained below provide additional high-level information about each client.

1. Projects: The total number of Motion.io projects you have invited a client to.

2. Added: The date you or a team member created the client in Motion.io.

3. Last Login: The most recent date on which the client accessed their project or portal. This date will only populate after you invite a client to a project.

All individuals you’ve added directly to the Client Directory, invited to projects, or assigned to tasks will appear in the People tab.

To add a new client, click the Add Person button in the upper-right corner. In the modal that appears, enter the client’s details and save your changes.

When adding clients to the directory, the "Company" field lets you associate a client with a specific company. You can assign clients to a company you created previously by selecting it from the dropdown or create a new company with which you want to associate them by clicking the "+" icon on the right side of the modal.

📣 Note: Associating a client with an existing company does not automatically add them to projects other clients in the same company have access to. To give clients access to a project, you must first invite them. The section below explains how to do this.

How to Invite Clients to Projects from the Directory

After creating a client in your Motion.io Directory, you can easily invite them to join an existing project.

When you click Save, a slideout panel will appear (you can also open it later by clicking on the client’s name in the Directory). From this slideout, click the Edit icon, then use the Project dropdown to select the project you’d like to invite the client to.

Once selected, the client will be added to that project automatically.

💡 Tip: Before you can invite clients to projects from the Client Directory, you’ll need to create the project first. Learn how to create projects from templates.

How to Edit and Remove Clients in the Directory

To edit or remove a client, click the three dots under the "Actions" column and select an option from the dropdown.

Clicking "Edit" in the dropdown will bring up the exact modal used to create clients and allow you to modify the client's company and title. Clicking the "Remove" action will delete the client from your account, remove them from any projects you invited them to, and make it so they can no longer access their portal.

👋 Tip: If you accidentally remove a person, you can easily add them back to your Client Directory by clicking the "Add Person" button at the top right corner.

Viewing Clients in the Directory

After you invite clients to projects and they begin completing tasks or communicating with your team, the Email and Activity tabs — accessible by clicking on a client in the directory — provide a comprehensive view of how that client has engaged with you and your team.

Activity Feed

The Activity tab for each client in the directory provides a feed of their recent actions — including completed tasks, uploaded files, submitted forms, signed documents, comments, and more.

Clicking links to tasks in the activity feed opens a modal window, allowing you to view task information and comments without leaving the directory.

Email Feed

The Emails tab for each person in the Client Directory displays a feed of all emails Motion.io has sent to them — including the date, time, and open status for each message. Click the eye icon to preview any email without leaving the directory.

When clients read/open emails, a blue "Message" icon appears on the right side of each message they open. Hovering over this icon displays the date the client opened that specific email.
