Managing Clients in the CRM
The "People" tab of Motion.io's built-in CRM allows you to add your clients to Motion.io and have a full view of them, the projects they're on, the emails they've opened, and more.
This article will explain how to create and manage people in Motion.io's CRM (also called the "Client Directory") and the information you can access.
How Clients Work in Motion's CRM
To create, view, and edit clients in the CRM, click "Clients" in your account sidebar and select the "People" tab.
On the "People" tab, you'll see a list of all clients added to your account. In addition to name, email, and company, the columns to the far right (explained below provide additional high-level information about each client.
1. Projects: The total number of Motion.io projects you have invited a client to.
2. Added: The date you or a team member created the client in Motion.io.
3. Last Login: The most recent date on which the client accessed their project or portal. This date will only populate after you invite a client to a project.
How to Add Clients to the CRM
All clients you've created directly in the CRM, invited to projects, or assigned to tasks will appear in the "People" tab of the CRM. To create a new client, click the "Add Person" button in the upper right corner. In the modal, enter the client's details.
When adding clients to the CRM, the "Company" field lets you associate a client with a specific company. You can assign clients to a company you created previously by selecting it from the dropdown or create a new company with which you want to associate them by clicking the "+" icon on the right side of the modal.
📣 Note: Associating a client with an existing company does not automatically add them to projects other clients in the same company have access to. To give clients access to a project, you must first invite them. The section below explains how to do this.
How to Invite Clients to Projects in the CRM
If you'd like to add a client you create to an existing Motion.io project, the slideout that opens after you click "Save" (or open by clicking on the client in the CRM) allows you to do so. To invite the client to a project, click the "edit" icon in the slideout and select a project from the dropdown.

How to Edit and Remove Clients in the CRM
To edit or remove a client, click the three dots under the "Actions" column and select an option from the dropdown.
Clicking "Edit" in the dropdown will bring up the exact modal used to create clients and allow you to modify the client's company and title. Clicking the "Remove" action will delete the client from your account, remove them from any projects you invited them to, and make it so they can no longer access their portal.
👋 Tip: If you accidentally remove a client, you can easily add them back to your CRM by clicking the "Add Person" button at the top right corner.
Viewing Clients in the CRM
After you invite clients to projects and they begin completing tasks and communicating with your team, the "Email" and "Activity" tabs — which you can access by clicking on a client from the CRM — provide a complete view into how that client has engaged with you and your team.
Activity Feed
The "Activity" tab for each client in the CRM displays a feed of recent tasks completed, files uploaded, forms submitted, documents signed, comments, and more.
Clicking links to tasks in the activity feed opens a modal window, allowing you to view task information and comments without leaving the CRM.
Email Feed
The "Emails" tab for each client in the CRM displays a feed that details the emails Motion.io sent them, including the time and date of sending and whether or not the client opened them. Clicking the "eye" icon allows you to preview a specific email sent to the client without navigating away from the CRM.
When clients read/open emails, a blue "Message" icon appears on the right side of each message they open. Hovering over this icon displays the date the client opened that specific email.
