Creating Folders & Managing Files

To provide your team and clients easy access to files, every project you create in Motion.io includes a dedicated file management area.

This article will explain how file management in your Motion.io projects works and how you create, customize, and control the files and folders customers can access within their client portals.

How File Management Works in Motion.io

Motion.io's file management system works on a per-project and per-portal basis.

To access the file management area, select a project from your dashboard and click "Files" at the top of your screen.

Inside the file management area of a project, there are three primary folders you and your team can access, each serving a unique purpose:

  • All Files - The "All Files" folder and all subfolders and files inside are accessible only to team members. Every file uploaded, attached, or shared throughout a project will appear here, and sub-folders inside of "All Files" are created and organized automatically depending on how files are uploaded. The names of folders inside of "All Files" cannot be changed.
  • Client Portal - The "Client Portal" folder gives your team complete control over what files and folders customers can access from their portal's "Files" page. In addition to renaming the primary "Client Portal" folder, your team can create, rename, and modify sub-folders inside of it.
  • Deleted - The "Deleted" folder contains any files that were deleted from the project. This folder is only accessible to team members, and clients will not have access to it within their portals.

As mentioned above, you have complete control over what files your customers can access in their portals and can create, rename, and modify the folders and sub-folders that appear.

The sections below will provide instructions for creating client folders and adding files to them that customers can access directly within their client portals.

How to Rename the Primary Client Folder

To change the name of the primary client folder to something other than "Client Portal," click the three dots beside it, select "Rename" from the dropdown, and enter a new name for the folder.

How to Create New Client Folders

To create sub-folders inside the primary client folder, click the three dots beside it, select "New Folder" from the dropdown, and give your new folder a name.

How to Add Files to Client Folders

To add files to client folders, click the checkbox to the left of any files located within "All Files" and open the "Actions" dropdown. In the "Actions" dropdown, click "Copy To" and select the client folder to which you want to add the files.
