Require Signature Request Option

When creating client tasks, the 'Attach files' request option enables you to attach all types of files and quickly send them to clients to view, annotate, and approve directly in their Motion.io portals.

This article will provide instructions for using the Attach files request option and explain additional functionality that allows clients to annotate and approve files you attach to client tasks.


A powerful new addition to client tasks in Motion.io, you can now require signatures on any tasks you send to clients by toggling the ‘Require Signature’ option near the bottom of the Task Builder.


This new functionality allows you to get rid of 3rd-party signature tools and have clients sign documents like contracts, scope of agreements, and proposals natively in Motion.io.


When toggled on, the ‘Require Signature’ option will add a digital signature field to the bottom of any task. If you attach a form to a task, toggling “Require Signature’ will automatically add the signature field to the bottom of that form.


But adding a signature field to the bottom of a form built in Motion.io isn’t the only thing you can use the ‘Require Signature’ option on tasks for. Other options include:


- Embedding a PDF document into a task and then adding a required signature

- Getting final sign-off on designs, content, or any other type of creative embedded in a task

- Requiring clients to confirm they have reviewed or completed something

How to Attach Files to Client Tasks

After creating a new task or clicking the edit icon (see example) on a task you want to attach files to, click the "Files" button under "Attach".


In the modal that opens after clicking "Attach files," upload the files you want to attach to the task. From here, you can send the task as-is or toggle the additional option to require client approval, which is explained in the next section of this guide.


📢 Note: While the ability for clients to annotate and approve files is a powerful feature of Motion.io's Attach Files request option, it's totally optional. If files you are attaching to a task are simply for your client's records or to provide additional context, leave this option unchecked.

How to Require Client Approval on Files

If you'd gather feedback and approvals on files you've attached to a task, Motion.io's build-in file annotation & approval functionality provides a convenient way to do so. To enables client to leave pinned comments and mark each attached files as "Approved" or "Changes Requested," toggle on Require client approval in the bottom left of the file upload modal.

👋 Tip:  When toggling on Require client approval — images, videos, and PDFs can be annotated with comments by the client. All other files types will display in a file viewer that allows the client to mark files as "Approved" or "Changes Requested" but not leave annotated comments.

After sending your task, clients can mark files as “Approved” or “Changes Requested,” pinning any comments directly on the files you attached.

In scenarios where you've required client approval on multiple files attached to a task, your client can easily toggle between them by clicking the thumbnails below the file they are actively viewing.
