Send Meeting Notes to Motion.io Using Zapier

If you're using an AI note taker like Fathom, Otter, or Fireflies to capture your client meetings, you can save time by connecting that tool directly to Motion.io using Zapier. This integration allows your meeting transcripts to be automatically added to the Notes & Meetings tab of your projects—no copy-pasting required. It’s a great way to streamline how meetings become actionable in your workflow.

Setup Instructions

Step 1: Add your Note Taker "New Transcript" trigger


To get started, head to your Zapier account and create a new Zap. For the trigger step, select the note taker app you’re using.  After selecting the app, choose the "New Transcript" event as your trigger and connect your account to Zapier.


Step 2: Create an action to "Create Meeting" in Motion.io


Next, add an action step and search for Motion.io. Choose "Create Meeting" as your action event.

Once you’ve connected your Motion.io account, Zapier will present a configuration screen where you can map data from your transcript to Motion.io fields. This includes

  • Meeting Title: The meeting title should be mapped to the corresponding field from your note taker. This will be the label Motion.io will use to name your meeting summary in the project.
  • Meeting Attendee Email Addresses: This is how Motion.io will find the correct project to add this transcript to
  • Meeting Transcript or Summary: Map the plain text version of the transcript from your trigger app here. This ensures the full meeting content is passed into the Notes & Meetings tab.
  • Generate a Summary using AI: If you'd like Motion.io to summarize the meeting and suggest tasks automatically, set the "Generate Summary" field to true   .


If you’ve enabled AI summarization, Motion.io will also format the conversation into clear sections and suggest actionable tasks based on what was discussed.

📣 Note: If your note taker doesn’t include email addresses or client identifiers, you can use

Zapier’s "Find Project" action to look up the appropriate Motion.io project based on the project name or ID.


Once your transcript is added to Motion.io, the AI takes it a step further by suggesting tasks based on what was discussed. Each suggestion comes pre-filled with relevant details—saving you time and reducing the chance of follow-up items slipping through the cracks. With just a few clicks, you can turn your meeting notes into clearly defined next steps and keep both your team and clients aligned.
