Time Tracking
Motion.io’s built-in time tracking eliminates the need for juggling multiple tools. You can:
- Create custom categories with different billing rates.
- Allow team members to log billable hours on a task-by-task basis.
- Access detailed reports directly from your account.
This guide explains how time tracking works, how to set it up, and how to use reports effectively.
Understanding How Time Tracking Works
Time tracking in Motion.io lets you and your team log the hours or minutes spent completing tasks within client projects. To log time, team members have two options: by going to the "Tasks" page or by opening a project and going that project's task page.
Access to time tracking features depends on a team member’s role:
- All Team Members: Can log time on their assigned tasks.
- Managers & Admins: Can view and export time tracking reports from the Reporting dashboard.
- Admins Only: Can create and manage Time Categories, which define billable status and hourly billing rates.
How to Team Members Track Time
Team members can log time from either the Tasks page or a project’s task list. To track time, open a task and click Enter/Edit Time.

In the pop-up window, enter the required details—such as the time worked and the appropriate time category—then save your entry.

How Time Categories Work
Every time a team member logs hours on a task, they must choose a Time Category. These categories define whether the work is billable or non-billable and, if billable, which hourly rate applies.
To ensure accurate billing and reporting, admins should set up categories that reflect the different services your business provides.
Setting Up Time Categories (Admins Only)
Only users with the Admin role can create and manage Time Categories in Motion.io. To set them up, navigate to Settings > Time Tracking from the left sidebar. Motion.io includes a single default category—Non-Billable.
Click Add Time Category and fill out the form by entering a category name (for example, “Design” or “Development”), adding a description, selecting whether the category is billable or non-billable, and entering an hourly rate if applicable. Once saved, these categories become available for team members to select whenever they log time on tasks.
Viewing and Exporting Time Tracking Reports Data
Admins can access detailed reporting tools by navigating to Reporting > Time Tracking. Within this dashboard, all tracked time across projects is displayed, with the ability to filter by date range to focus on projects with activity during a specific period.
Each project shows a breakdown of the time logged by individual team members, making it easy to see contributions at a glance. For deeper insight, clicking the “+” icon expands the view to reveal exactly how much time each team member spent completing individual tasks.
To simplify record keeping or share data externally, admins can also export Time Tracking reports on a per-project basis by selecting the Export button in the upper-right corner of the project view.
