How to Use AI Clients
Simulated clients (or “AI Clients”) are AI agents you can add to projects to test workflows, experience your process from a real client’s perspective, and uncover insights to improve or automate your templates. Once added to a project, they’ll complete assigned tasks, leave comments, and provide time-based insights to help you understand how a real client might engage with each step.
How to Add an AI Client to a Project
Step 1: Create a Project
To simulate a workflow, you’ll first need a project with tasks for the AI Client to complete. We recommend starting from one of your existing Motion.io templates.

Step 2: Add an AI Client and Assign Tasks
Navigate to the Users tab in your project’s top navigation, then click Add User to Project and select Simulated Client from the dropdown.
The modal will update to reflect your selection. To use the default AI profile, simply click Add Simulated Client. If you’d prefer to tailor the AI client to better reflect your customers, click Design your simulated client profile to create a custom persona aligned with your business.
Once the AI Client has been added, a confirmation modal will appear. Click Assign Client to assign them to all client tasks in the project — Motion.io will automatically exclude any team-only tasks.
Step 3: Send Tasks to Your AI Client
Just like with real clients, AI Clients can only engage with tasks that are Active — not in Draft. To activate tasks:
- Send them individually,
- Use bulk actions,
- Or set up automations to activate tasks automatically.
Once tasks are active, your AI Client will begin completing them just as a real client would.
How AI Clients Interact with Tasks
Once tasks are sent and active, your AI Client will begin working through them just like a real client would — completing tasks in order, from signing contracts and submitting forms to uploading files, reviewing proofs, and more.
As they progress, AI Clients will leave comments and ask questions within tasks. You can respond if you’d like, but it’s not required — they’ll continue moving forward either way.
Motion.io will also share helpful insights directly in the task comments, including how long each task took to complete. These insights can highlight opportunities to streamline your workflow or add new automations to your process.
Additional Notes:
- AI Clients complete all assigned Active tasks until no tasks remain.
- Tasks with the nearest due dates are completed first. If due dates are the same or not set, tasks are completed in the order they appear within each project stage (top to bottom).
- If you’ve set up automations to activate future tasks or stages, the AI Client will continue working as those tasks become available.
- Task dependencies matter. If a client task is triggered by the completion of a team task, you’ll need to manually complete that team task before the AI Client can proceed.
