Client Portals
In Motion.io, the way clients complete tasks and view information or updates related to the projects you’ve invited them to are through their client portals.
Portals in Motion.io are loginless for clients to access, branded to your business, and can be customized to give clients access to additional information, websites, or software they’ll need throughout a project.
This article will explain how client portals work and the options you have for customizing them.
How Client Portals Work
When clients access their portals — either by clicking a magic link or by logging in with their username and password — the pages in the sidebar on the left allow them to view information and perform certain actions within the projects you've invited them to.
By default, the sidebar of all portals includes six standard pages:
- Home: Each client's "Home" page highlights any outstanding tasks your team has assigned that they must complete, along with information about the project(s) you invited them to.
- Projects: The "Projects" page enables clients to access the projects you have invited them to. When accessing a project, clients can view all of its related tasks (regardless of whether they are assigned or not), along with a project progress tracker and any custom project pages.
- My Tasks: On the "My Tasks" page, clients can view and complete the tasks that your team assigns them. When clients access this page, only the tasks your team assigned them are displayed.
- Files: The "Files" page of a client's portals allows them to access all files associated with the projects your team has added them to. Clients you have invited to multiple projects will have an individual parent folder for each.
- Messages: From the "Messages" tab, clients can access the chat interface for each of the projects you've invited them to, sending new messages or replying to previous messages sent by your team.
- Help Desk: This is where clients can go to submit support tickets. If you invite a client to multiple projects, they must first choose the project to which they want to submit a ticket.

How to Show/Hide Default Portal Pages
While three of the default portal pages ("Home," "Projects," and "My Tasks") are critical to clients using Motion.io and cannot be removed from portals, your team has the option to hide the pages for "Files," "Messages," and "Helpdesk" if you do want to give clients access to them.
To show or hide the pages from your client portals, navigate to the "Settings" page of your Motion.io admin account and select the "Portals" tab. On the "Portals" tab, toggle on or off the pages you want to show/hide in each client's portal.
📢 Important: Changes you make on the "Portals" page of your account settings apply to the portal for every client you add to Motion.io and cannot be customized individually.
How to Create Custom Project Pages
In your client portals, there will likely be times when you want to give clients access to information, dashboards, websites, or other software apps.
While the six default pages clients have access to in the sidebar of their portals cannot be added to or customized (other than showing or hiding them), the Project Pages clients can access within each project you invite them to can be fully customized on a per-project or per-template basis.

Inviting Clients to Portals
When you invite clients to a Motion.io project, they will automatically receive access to their portal, where they can access the tasks, information, and Project Pages associated with it.
