Recurring Tasks
Motion.io's Recurring Tasks feature allows you to create tasks that repeat on a specified schedule. Once set to recur, these tasks are automatically assigned to clients or team members on the schedule you designate, reducing the manual effort required of your team and ensuring you can meet ongoing clients' needs.
This guide will walk through how recurring tasks work, how to create them, and how to start, stop, and edit recurring tasks.
How to Create Recurring Tasks
Motion.io’s Task Composer lets you create both recurring client tasks and recurring team tasks. To create one, open a project or template, navigate to the Tasks page, and click the Create Task button. In the task composer, scroll to the bottom of the task options and select the Recurring option to configure how often the task repeats.
💡 Tip: When creating a Recurring Task, you can still take advantage of all the other task composer options—like adding forms, embeds, files, and more. These elements will be included every time the task recurs.
In the modal that opens, you can choose to create either a weekly recurring task (which generates a new task each week) or a monthly recurring task (which generates a new task on a specific day of the month). For weekly tasks, you’ll select the day of the week and time the task should recur. For monthly tasks, you’ll select the date and time it should recur each month.

Dynamically Populate Day and Month Information in Recurring Tasks
After starting a recurring task, Motion.io will create duplicate versions of it on the schedule you define. To help your team and clients clearly distinguish between a recurring task assigned in the current month vs. the previous month, you can use the bracketed text fields — {{dayOfmonth}} and {{month}} — to automatically populate that information in the task's title and description.
Managing Recurring Tasks
- Parent Task: Immediately after saving a task where you toggle on the "Task Recurs" option, the "Parent" of the recurring task is all that will be visible in your admin view of the project. The Parent is where you can start or stop a task from recurring and modify what information the future version it creates will include. The "Parent" of a recurring task is not visible to clients in their Motion.io portals.
- Child Task: On the schedule you define, a task set to recur will create a duplicate version of itself. These duplicates—or "Children"—are what your client will see when completing a recurring task in their portal and operate identically to all other tasks in Motion.io.
How to Start Recurring Tasks
To start a recurring task, click on its status label and select "Start recurrence." After a recurring task is started, it will automatically create duplicate versions of the parent task on the schedule you defined.
📢 Note: At this time, recurring tasks can not be activated in bulk or via Motion.io automations. To start a recurring task, you must do so individually by following the instructions above.
How to Stop Recurring Tasks
To stop a recurring task, click on its status label and select "Stop recurrence." Once a recurring task is stopped, no new child tasks will be created.
